How to Organize Voice Notes: Categories, Titles, Search and Storage

TL;DR

Create categories and file notes into them, set a title template (date, category and more, drag to reorder), search all transcripts, rename notes, and use Storage to see usage and free space. Recordings are only removed by deleting the notes that own them.

The problem

After a month of voice notes you have “Recording 31”, “Recording 32” and no idea which was the supplier call. Audio isn’t searchable, and recordings quietly eat storage.

Make it findable

  • Categories: create your own (Lectures, Clients, Ideas) and file a note from its menu or at save. New recordings use the category you used last.
  • Title format: Settings → Title format. Choose the elements (date, time, category and so on), drag to reorder, and check the preview. If you choose nothing, titles are by date.
  • Rename any note from its menu.
  • Search across every transcript.

Manage space

Settings → Storage shows a breakdown, can recalculate, and offers Free up space for supporting files. Your recordings and transcripts aren’t touched; they go only when you delete the note.

Tips

  • Weekly: skim the library, rename the useful notes, delete the rest.
  • Keep long recordings only until the transcript is checked, then delete the audio if you don’t need it. At 16 kHz mono it is about 115 MB per hour.

FAQ

How do I search? Use the search in the library; it looks through the transcripts.

Can I change how new notes are named? Yes. Settings → Title format lets you choose and reorder elements, with a live preview.

How do I see storage use? Settings → Storage shows a breakdown and lets you free up space from supporting files.

Does clearing storage delete my recordings? No. Recordings and transcripts are not affected; they are only removed when you delete the note.
